Fixa Trade Automation

ServiceM8 Already Has an AI Phone Agent. Here's What It Still Hands Back to You.

Fixa TeamSep 28, 20267 min read

ServiceM8 Phone Agent is an AI-powered virtual receptionist built directly into ServiceM8 Phone, ServiceM8's own business phone product for trade and field-service businesses. It answers calls, texts booking links, captures messages, and filters spam calls — and it's been doing this since September 2025, quietly, a full year before "ServiceM8 15" and its Office Agent assistant grabbed the spotlight at ServiceM8's September 18, 2026 product launch.

If you run a trades business on ServiceM8 and you've only heard about Office Agent this month, that's understandable — Office Agent got the keynote. Phone Agent got a help-centre article. But if you're evaluating whether you still need a dedicated AI receptionist like Fixa on top of ServiceM8, Phone Agent is the feature that actually matters, and almost nobody is writing about it.

What ServiceM8 Phone Agent Actually Does

According to ServiceM8's own help centre documentation, Phone Agent is available as an add-on for ServiceM8 Phone customers on the Connect Plus and Unlimited plans (customers who had ServiceM8 Phone before the plans were revised in September 2025 get an "After Hours Phone Agent" mode at no extra cost). Configured, it can:

  • Answer calls during business hours, after hours, or as a voicemail replacement
  • Answer common client questions
  • Capture messages that land in the ServiceM8 Inbox
  • Text callers a link to book online
  • Complete an online booking on the caller's behalf
  • Route calls to the right staff member
  • Filter out spam and sales calls
  • Speak with more than one caller at the same time, so a second inbound call during a busy period doesn't just ring out

That's a real, useful feature set. It's also, notably, the first AI receptionist function most ServiceM8 users have had access to without installing a third-party app — which is exactly why it's worth understanding precisely what it does and doesn't do before you assume you need (or don't need) anything else.

What It Doesn't Do: Write the Job

Here's the gap. ServiceM8's own documentation on testing and going live with Phone Agent describes its configurable actions as things like "Create Online Booking" and "SMS Link to Online Booking" — plus messages that get dropped into the Inbox for someone to read later. Nowhere in that documentation does Phone Agent get described as creating a job card with a diagnosed problem, a quoted scope, or a scheduled visit already sitting on a tradie's calendar. It takes a booking request or a message. A person still turns that into an actual job.

For a plumber fielding "can I book someone for Tuesday," that gap barely matters — Phone Agent can hand you a booking and you're done. For a callout where the caller says "my hot water's making a banging noise and there's water near the unit," it matters a lot. That's not a booking request. That's a job that needs triage, and Phone Agent's job, per ServiceM8's own description of it, ends at capturing what was said.

ServiceM8 Phone Agent captures a booking or a message; a dedicated AI receptionist like Fixa writes the job itself into ServiceM8 via the API.

This isn't a knock on ServiceM8 — Phone Agent is a genuinely good addition to a product that was, until recently, purely a job-management tool with a phone bolted on. It's just built to solve a narrower problem than "answer the phone and run my front desk," which is the actual job a lot of solo and small trades operators need done.

Office Agent vs. Phone Agent: Two Different Things

Worth clearing up, because the names invite confusion: ServiceM8's September 2026 update introduced Office Agent, described as "your ServiceM8 AI assistant" that you chat with while you work, or that runs scheduled tasks like a daily job review. Office Agent operates on jobs that already exist in the system — drafting quotes, invoices, and follow-ups from a job card that's already there. It doesn't answer the phone.

Phone Agent, released roughly a year earlier inside ServiceM8 Phone, does answer the phone — but only gets as far as a booking or a message, not a full job.

Put together: ServiceM8 now has an AI feature at the front door (Phone Agent, call answering) and an AI feature in the back office (Office Agent, paperwork on existing jobs). What's still missing between them is the AI that turns a messy, once-off phone conversation directly into a correctly detailed job card — the exact seam Fixa was built to sit in.

Where a Dedicated AI Receptionist Still Fits

Fixa answers calls 24/7, wired to ServiceM8, and its whole job is that seam: it takes the call, works out what the job actually is, and writes it straight into ServiceM8 as a job card via the API — not a booking slot, not an Inbox message someone still has to action. On top of that, Fixa sends an SMS follow-up after the call that references the job it just created (not a generic "thanks for calling" text), and its lead-reactivation add-on can bulk-call a list of dormant past customers and write any resulting bookings into ServiceM8 the same way, as jobs rather than a separate lead list someone has to reconcile by hand.

None of that competes with Phone Agent, exactly — it's closer to what Phone Agent would need to become to fully replace a human doing front-desk triage. Whether that gap matters to your business comes down to one question: how much of your call volume is "book me in for Tuesday" versus "something's wrong and I need someone to figure out what."

A trade business with mostly straightforward bookings may not need more than ServiceM8's built-in Phone Agent; one fielding triage-heavy calls still needs the job written for them, not just a message left about it.

It's also worth being honest about who this comparison is actually for. If you're a two-person plumbing outfit and 90% of your calls are "can you come look at my leaking tap," Phone Agent might genuinely be enough, and there's no reason to pay for more than you need. Fixa's own pricing runs from $29/month for 25 included calls up to $299/month for 600 — the point isn't that a dedicated receptionist always wins, it's that the two products are solving different-sized problems, and it's worth knowing which one you actually have before you pick.

Frequently Asked Questions

Does ServiceM8 have a built-in AI receptionist?

Yes. ServiceM8 Phone Agent, an add-on for ServiceM8 Phone customers on Connect Plus and Unlimited plans, has answered inbound calls, texted booking links, captured messages, and filtered spam since September 2025.

Is ServiceM8 Phone Agent the same as ServiceM8's Office Agent?

No. Phone Agent answers inbound calls and captures bookings or messages. Office Agent, introduced in the September 2026 "ServiceM8 15" update, works on jobs that already exist in the system, drafting quotes, invoices, and follow-ups rather than answering the phone.

Does ServiceM8 Phone Agent create a job card automatically?

Based on ServiceM8's own documentation of its configurable actions — "Create Online Booking," "SMS Link to Online Booking," and message capture into the Inbox — Phone Agent produces a booking or a message rather than a fully detailed job card. A person still turns that into a job.

Do I need Fixa if I already have ServiceM8 Phone Agent?

It depends on your call mix. If most calls are simple, pre-defined bookings, Phone Agent alone may be enough. If calls typically need triage or diagnosis before you know what job you're actually booking, a dedicated AI receptionist that writes the finished job card into ServiceM8 for you — which is what Fixa does — closes that remaining gap.

Can Fixa and ServiceM8 Phone Agent be used together?

They serve different layers of the same workflow rather than duplicating each other, but the two aren't designed to run stacked on the exact same phone number. The question worth asking is which one should be answering your calls, not whether to run both at once.
